PCS Web Hosting Email Setup Guide

Welcome to the PCS Web Hosting Email Setup Guide. This guide provides detailed instructions to configure your email client or device to access your PCS Web Hosting email account. Whether you’re using mobile devices, desktop applications, or web-based clients, this guide covers the essential settings and steps to get you connected.

 

General Email Account Settings

Before configuring your email client, gather the following information:

  • Email Address: (e.g., youremail@yourdomain.com)
  • Password: Your email password.
  • Username: (e.g., youremail@yourdomain.com)
  • Mail Server Hostname: mail.yourdomain.com (replace yourdomain.com with your actual domain)

Incoming Mail Server (POP3)

  • Hostname: mail.yourdomain.com (replace yourdomain.com with your actual domain)
  • Username: (e.g., youremail@yourdomain.com)
  • Password: Your email password
  • Authentication: Password
  • Port:
    • Secure SSL (Recommended): 995
    • Secure STARTTLS: 110
  • Email Retrieval Settings:
    • Option 1: Delete from server (use if no other devices retrieve this email).
    • Option 2: Leave on server for a few days or remove after a few days (use if multiple devices retrieve this email).

Outgoing Mail Server (SMTP)

  • Hostname: mail.yourdomain.com (replace yourdomain.com with your actual domain)
  • Username: (e.g., youremail@yourdomain.com)
  • Password: Your email password
  • Authentication: Password
  • Port:
    • Secure SSL (Recommended): 465
    • Secure STARTTLS: 587
  • Note: Your email client must support TLS 1.2 encryption. Older clients (pre-2010) may not be compatible.

ANDROID MAIL

  1. Open the Samsung Email app (may be in the Samsung folder on your apps screen).
  2. Tap Settings > Add Account.
  3. Enter and your email password, then tap Manual Setup.
  4. Select POP3 Account.
  5. For incoming server settings:
    • Username:
    • Password: Your email password
    • Server: mail.yourdomain.com
    • Port: 995
    • Security Type: SSL/TLS
  6. Tap Next.
  7. For outgoing server settings:
    • Server: mail.yourdomain.com
    • Port: 465
    • Security Type: SSL/TLS
    • Username:
    • Password: Your email password
    • Check Require authentication to send emails
  8. Tap Next.
  9. Adjust sync settings (e.g., email checking frequency, notify for new emails) and tap Next.
  10. Enter your name for outgoing emails and tap Done to complete setup.

APPLE IOS MAIL

  1. Open the Settings app.
  2. Tap Mail > Accounts > Add Account.
  3. Select Other > Add Mail Account.
  4. Enter:
    • Name: Your real name
    • Email:
    • Password: Your email password
    • Description: A name for the account (e.g., PCS Email)
  5. Tap Next and select POP.
  6. Under Incoming Mail Server:
    • Hostname: mail.yourdomain.com
    • Username:
    • Password: Your email password
  7. Under Outgoing Mail Server:
    • Hostname: mail.yourdomain.com
    • Username:
    • Password: Your email password
  8. Tap Save. If prompted, confirm SSL settings.
  9. To leave messages on the server for access by other devices (e.g., a computer):
    • Go to Settings > Mail > Accounts > [Your Account] > Advanced.
    • Under Deleted Messages, tap Remove and select Never to ensure emails are not deleted from the server. Alternatively, choose After one month to keep emails for 30 days if you want to limit server storage.
  10. Configure remaining advanced settings:
    • Use SSL: On
    • Authentication: Password
    • Server Port: 995
  11. Tap SMTP under Outgoing Mail Server, select the primary server, and set:
    • Use SSL: On
    • Authentication: Password
    • Server Port: 465
  12. Tap Done to save settings.

APPLE MACOS MAIL

  1. Open the Mail app.
  2. Go to Mail > Add Account > Other Mail Account.
  3. Enter:
    • Name: Your real name
    • Email Address:
    • Password: Your email password
  4. Click Sign In. If prompted, enter:
    • Account Type: POP
    • Incoming Mail Server: mail.yourdomain.com
    • Outgoing Mail Server: mail.yourdomain.com
    • Username:
    • Password: Your email password
  5. Click Sign In.
  6. Go to Mail > Preferences > Accounts > [Your Account] > Advanced:
    • Port: 995
    • Use SSL: Checked
    • Authentication: Password
  7. Under Outgoing Mail Server (SMTP), select Edit SMTP Server List:
    • Port: 465
    • Use SSL: Checked
    • Authentication: Password
  8. Click OK and close the preferences.

GMAIL

  1. Open Gmail in a browser.
  2. Click the gear icon > See all settings > Accounts and Import.
  3. Under Check mail from other accounts, click Add a mail account.
  4. Enter and click Next.
  5. Select Import emails from my other account (POP3) and click Next.
  6. Enter:
    • Username:
    • Password: Your email password
    • POP Server: mail.yourdomain.com
    • Port: 995
    • Check Always use a secure connection (SSL)
  7. Click Add Account.
  8. To send emails, select Yes, I want to be able to send mail as… and click Next.
  9. Enter your name and click Next Step.
  10. Enter:
    • SMTP Server: mail.yourdomain.com
    • Port: 465
    • Username:
    • Password: Your email password
    • Select Secured connection using SSL
  11. Click Add Account. Verify via the confirmation email sent to your PCS email.

PROTON MAIL

  1. Open Proton Mail in a browser and log in.
  2. Go to Settings > Import > Add external email.
  3. Enter:
    • Email address:
    • Password: Your email password
  4. For incoming server:
    • Protocol: POP3
    • Server: mail.yourdomain.com
    • Port: 995
    • Security: SSL/TLS
  5. For outgoing server:
    • Server: mail.yourdomain.com
    • Port: 465
    • Security: SSL/TLS
    • Username:
    • Password: Your email password
  6. Click Add and follow prompts to verify the account.

SPARK

  1. Open the Spark app (available on iOS, Android, macOS, or Windows).
  2. Tap (mobile) or click (desktop) Add Account > Manual Setup.
  3. Select POP3.
  4. Enter:
    • Email:
    • Password: Your email password
  5. For incoming server:
    • Server: mail.yourdomain.com
    • Port: 995
    • Security: SSL/TLS
    • Username:
  6. For outgoing server:
    • Server: mail.yourdomain.com
    • Port: 465
    • Security: SSL/TLS
    • Username:
    • Password: Your email password
  7. Tap (mobile) or click (desktop) Next and enter your name.
  8. Tap (mobile) or click (desktop) Done to complete setup.
  9. For iOS, to leave messages on the server for access by other devices (e.g., a computer):
    • After setup, go to Settings > Accounts within the Spark app (tap the menu icon, then Settings).
    • Select the account ().
    • Tap Advanced Settings and find the Remove from Server or Delete from Server option.
    • Set it to Never to keep emails on the server indefinitely, or choose a duration like 30 days to limit server storage.
    • Save the settings.

THUNDERBIRD

  1. Open Thunderbird (available on Windows, macOS, Linux).
  2. Click Account Settings > Account Actions > Add Mail Account.
  3. Enter:
    • Your name: Your real name
    • Email address:
    • Password: Your email password
  4. Click Continue, then Manual Config.
  5. For incoming server:
    • Protocol: POP3
    • Server: mail.yourdomain.com
    • Port: 995
    • SSL: SSL/TLS
    • Authentication: Normal password
  6. For outgoing server:
    • Server: mail.yourdomain.com
    • Port: 465
    • SSL: SSL/TLS
    • Authentication: Normal password
    • Username:
  7. Click Done to complete setup.

WINDOWS LIVE MAIL 2011

  1. Open Windows Live Mail.
  2. Go to File > Options > Email Accounts > Add.
  3. Enter:
    • Email Address:
    • Password: Your email password
    • Display Name: Your real name
  4. Check Manually configure server settings and click Next.
  5. For incoming server:
    • Server type: POP
    • Server address: mail.yourdomain.com
    • Port: 995
    • Check Requires a secure connection (SSL)
    • Authenticate using: Clear text
    • Logon user name:
  6. For outgoing server:
    • Server address: mail.yourdomain.com
    • Port: 465
    • Check Requires a secure connection (SSL)
    • Check Requires authentication
  7. Click Next and Finish.

WINDOWS MAIL APP

  1. Open Mail app.
  2. Click Accounts > Add Account > Advanced setup.
  3. Select Internet email.
  4. Enter:
    • Email address:
    • Username:
    • Password: Your email password
    • Account name: PCS Email
    • Send messages using this name: Your real name
  5. Select Account type: POP3.
  6. Enter:
    • Incoming mail server: mail.yourdomain.com
    • Outgoing (SMTP) mail server: mail.yourdomain.com
  7. Check all authentication and SSL options.
  8. Click Sign in.
  9. If prompted, manually set:
    • Incoming server port: 995
    • Outgoing server port: 465

WINDOWS OUTLOOK 365

  1. Open Outlook.
  2. Go to File > Add Account.
  3. Enter and click Connect.
  4. Select POP and enter:
    • Incoming mail server: mail.yourdomain.com
    • Port: 995
    • Encryption method: SSL/TLS
  5. For outgoing mail:
    • Server: mail.yourdomain.com
    • Port: 465
    • Encryption method: SSL/TLS
  6. Enter your email password and click Connect.
  7. If prompted, confirm SSL settings and complete setup.

PCS Server Roundcube Webmail Access

Access your email account from any web browser via Roundcube Webmail at: https://webmail.yourdomain.com

This is direct access to your email on the server, from the server!

With Roundcube, you can:

  • Set up and manage auto-reply messages
  • Control anti-spam filtering
  • Manage email forwarding
  • Change your password
  • Access emails from any device with a browser

Log in using your full email address () and your email password.

Troubleshooting Tips

  • Connection Issues: Ensure ports (995 for POP3, 465 for SMTP) and SSL settings are correct. Try STARTTLS (ports 110 and 587) if SSL fails.
  • Authentication Errors: Verify your username () and your email password.
  • Older Clients: Ensure your email client supports TLS 1.2. Upgrade if necessary.
  • Multiple Devices: Use “Leave on server” to avoid missing emails on other devices.
  • Password Fails then Can’t Connect: The server has a protective IP address filter that will temporarily lock out any user that fails a significant number of password attempts. If you believe this may have happened to you, text us at the phone number below and ask us to “unban” you so you can try again.
